How to automate your SME's financial reporting

If preparing the monthly report takes longer than analysing it, the problem isn't the numbers but how they get there. Here's how to automate it without changing software.

In many SMEs month-end follows the same ritual: export data from the accounting system, the invoicing tool and the bank, paste it into Excel, reconcile differences and rebuild the tables. Days of work for a report that arrives late and sometimes doesn't match another department's figures.

Automating your reporting solves both problems: it saves time and gives you a single version of the numbers.

What automating your reports means

It means connecting your data sources to a single model that feeds every report. This is known as an ETL process:

  • Extract: take the data from where it already lives: your accounting software (Holded, A3, Sage or another), your ERP or CRM, banks, point of sale, Excel sheets, production or HR.
  • Transform: clean and organise it with the same rules every time, so all the figures reconcile.
  • Load: bring it into a model that feeds reports and dashboards, which update with one click or on a schedule.

Signs it's worth doing

  • Preparing the monthly report takes more than a day or two.
  • Different people have different figures for the same thing.
  • Data is spread across several programs and spreadsheets.
  • Every new analysis request means starting from scratch.
  • Copy-and-paste errors are caught late, or not at all.

The tools involved

You don't need a large system or a new accounting package. With Microsoft Power Query (built into Excel) and Power BI, you can connect most of the sources an SME uses and build reports that update themselves. You can explore the results in an interactive dashboard or receive them as PDF or Excel.

How it's done, step by step

  1. Sources and needs: what data exists, where it lives and what questions the report has to answer.
  2. Model design: calendar and periods, relationships between tables, and mapping each account to the management P&L and balance sheet.
  3. Build: connections, transformations and reports.
  4. Validation: checking with you that the figures reconcile with the accounts.
  5. Go-live and training: documenting the process and showing your team how to refresh and use it.

What to get right

  • Traceability: knowing where every figure comes from, so it can be explained.
  • Automatic reconciliations: the model flags anything that doesn't match the accounts.
  • Documentation: so the system doesn't depend on a single person.
  • Built to grow: new sources or a change of ERP can be added without starting over.

The result

Month-end stops being a race to prepare data and becomes the moment to analyse it. Your financial KPIs update themselves, and the monthly meeting is spent deciding, not arguing about which figure is right.

Frequently asked questions

Extract, transform and load: taking data from several sources, cleaning it with the same rules and bringing it into a single model that feeds your reports.

No. It connects to the programs you already use, such as Holded, A3, Sage and others, as well as Excel sheets or bank data.

It depends on how you want to view the reports. You can receive them as PDF or Excel without extra licences, or explore them in an interactive dashboard.
